Position Summary
The Benefits Manager supports the University’s Human Resources team by managing employee benefits, leave of absence programs, HR financial operations, and supporting talent acquisition efforts. This position requires a detail-oriented and service-focused individual who can manage complex benefit plans, ensure regulatory compliance, and serve as a knowledgeable and approachable resource for employees throughout the employment lifecycle.
Key Responsibilities
Benefits Administration
- Manage processes for benefits enrollment, changes, and cancellations for employees and their dependents
- Clearly communicate benefit plans, changes, and guidelines to new and current employees
- Provide guidance and support to employees on benefits options, eligibility, and claims
- Assist in onboarding and orientation processes related to benefits
- Assist annual open enrollment process
- Coordinate the annual Benefits Fair
- Staff to the University Wellness Committee and annual Health and Wellness Fair
- Manage special benefit programs (e.g., wellness initiatives, employee assistance program, ancillary services)
- Compile reports on benefits data and engagement metrics
Leave of Absence Management
- Administer leave of absence processes using third-party tracking systems for FMLA; coordinate with STD and LTD 3rd party administrators
- Maintain accurate records of leave requests, approvals, and related communications
- Generate reports on leave trends and usage
- Provide support to employees in response to leave related questions
- Ensure compliance with accommodation policies and university standards
Compliance & Audits
- Ensure compliance with federal and state regulations (e.g., ACA, FMLA, ERISA, HIPAA)
- Manage worker’s compensation program, working with 3rd party administrator
- Manage unemployment process, working with 3rd party administrator
- Maintain confidentiality of Protected Health Information (PHI)
- Manage University Volunteer Program
- Manage or participate in benefits-related audits and special projects
- Follow standard processes and checklists to ensure timely processing of documentation
HRIS and Systems Support
- Work with HRIS systems (preferably Paycom) to ensure accurate data entry and integration with benefits systems
- Assist with training employees on benefits systems, policies, and procedures
- Assist with applicant tracking and candidate follow-up and system updating
HR Financial Operations
- Manage HR accounting functions including purchase order (PO) creation, invoice processing, and credit card reconciliation
- Manage invoice reconciliation and payment processing
- Maintain HR inbox and triage inquiries appropriately
Recruiting & Onboarding Support
- Participate in new hire onboarding, providing guidance on HR policies, benefits, and required documentation
- Help ensure a smooth and welcoming transition for new employees through orientation activities and follow-up
- May assist with talent acquisition process, such as posting open positions and communicating with candidates
Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or a related field
- HR certification preferred
- Minimum of 2 years of relevant benefits administration and leave management experience preferred
- Demonstrated expertise in Microsoft Office applications, particularly Excel, Outlook, and WORD, beyond a basic or intermediate level
- High level of attention to detail and organizational ability
- Demonstrated success in delivering exceptional customer support, effectively communicating with individuals at all levels, and resolving inquiries with professionalism, empathy, and clarity
- Experience working with HRIS systems, preferably Paycom
- Demonstrated knowledge of employment laws and benefits regulations
- Experience in or exposure to recruitment and onboarding processes
Work Environment & Physical Demands:
This role requires flexibility to support varying service hours and may occasionally include evenings or weekends as needed to meet business demands. The position involves extensive computer use for data entry and analysis, frequent interaction with employees and external partners, and the ability to manage multiple priorities in a fast-paced environment with frequent interruptions. Strong attention to detail, adherence to strict confidentiality standards, and the capacity to balance concurrent tasks while delivering high-quality service are essential.
