Job Summary:
Reporting to the Vice President for Enrollment Management and Student Success (EMSS), the University Registrar oversees a portfolio of responsibilities for all campuses (Oxford, Regionals and Luxembourg) with a focus on advancing student success initiatives, supporting the academic enterprise through its strong and collaborative relationship with the Office of the Provost, Institutional Research, Information Technology and the overall mission of the University.
The University Registrar manages a complex organization and provides leadership and oversight for all operational, personnel, policy, and information technologies within the office and serves as a key leader within the EMSS division. The University Registrar provides information and actionable data to shape institutional and divisional discussions, trends, policies, processes, and strategic practices in support and advancement of the academic mission.
The position provides leadership and oversight to all aspects of the Office of the University Registrar including data integrity, operational efficiency, registration, both course scheduling and classroom scheduling and utilization, athletic eligibility for an NCAA Division I program, grade processing, University degree requirements and degree audit/certification, academic record maintenance and release, transcript processing, transfer credit evaluation and articulation, curriculum and bulletin management, and active support of the student information system and other ancillary software.
The University Registrar serves Miami University as the student record data steward and is responsible for FERPA management in relation to all student record data.
This position is eligible for remote work on a hybrid basis. Remote work is not a right, but a working arrangement that can be modified or revoked by Miami University at any time for any reason.
Duties/Physical Demands:
- Strategically lead the Office of the University Registrar in the overall management, planning, and execution of a broad range of critical academic services to students, families, faculty, administrators, staff, alumni, and community. Services include but are not limited to, data integrity, operational efficiency, the academic calendar, registration, course scheduling and classroom scheduling and utilization, athletic eligibility for an NCAA Division I program, grade processing, University degree requirements, and degree audit/certification, academic record maintenance and release, transcript processing, transfer credit evaluation and articulation, curriculum and bulletin management, and active support of the student information system and other ancillary software.
- Serve as the student record data steward for the university and holds responsibility for the application of FERPA in relation to student records
- Manage and support a team of dedicated Registrar professionals. Identify ways to provide continued professional development and build skills that support the changing needs of the team.
- Promote a culture of excellence, change, service, and accountability while fostering teamwork and service through engaged leadership, direction, clarity, and innovation.
- Ensure the integrity of all data related to academic records, registration processes, grades, and degree certification.
- Play a significant leadership role in ensuring full and proactive compliance with federal and state laws, NCAA regulations, and University academic policies.
- Chair the Interdivisional Committee of Advisors charged with reviewing and granting exceptions to the academic policy and serve on other committees as appropriate to the role and as designated by the VP, EMSS.
- Engage continuously in strategic planning regarding technology and reporting tools to ensure that the office and the University remain technologically current for all stages of the student lifecycle including leading the Student implementation of Workday and ancillary software integration.
- Collaborate with leadership within EMSS and other key stakeholders throughout the university to identify areas for operational efficiencies within the Registrar Office and between the Office and other departments.
- Serve on the EMSS Leadership team assisting the division in supporting and achieving short and long-range strategic enrollment goals and advancing a diverse learning environment and enrollment-related outcomes across the full student lifecycle from recruitment through graduation and lifelong success.
Minimum Qualifications:
- Master’s Degree with a minimum of eight years of experience in registrar-related roles/functions or experience in academic division administration, or a Bachelor’s Degree plus a minimum of 10 years of progressive experience in registrar-related roles/functions or experience in academic division administration.
- Must be able to perform overnight travel.
- Considerable project management skills including the ability to organize, prioritize, and manage large-scale projects and analyze large amounts of data.
- Proven record of relationship and rapport development with internal and external constituencies, and demonstrated ability to successfully manage staff to ensure a climate of collaboration and teamwork, while simultaneously encouraging professional development and continued performance improvement.
- Political savviness and diplomacy, coupled with exceptional oral and written communication skills.
Knowledge, Skills and Abilities
- Demonstrated knowledge and experience with complex data, information systems, and software applications.
- Knowledge of federal and state regulations, including FERPA, national trends, and current research and best practices in the field of enrollment management and student success.
- Demonstrated ability to provide leadership and mentoring.
- Demonstrated ability to work independently and collaboratively across units with sensitivity and responsiveness to the needs of diverse constituencies.
